The conference exhibition will be positioned at the Congress Hall Foyer of Transcorp Hilton Hotel Abuja. It will provide Companies and Organizations offering Road Safety related products and services visibility, exposure and opportunities to interact with participants, stakeholders, policy makers, competitors and expand on their contact data base. The exhibition is designed to give companies and organisations opportunities to partner with the conference organiser (FRSC) in ensuring road safety while also evolving strategies for future safety products, services and standards.

GUIDELINE FOR EXHIBITORS
Venue and dates
- The exhibition will be held in the Exhibition Hall – Transcorp Hilton
- The Exhibition will open from: 5pm 17th February to 6pm 18th February, 2013
- The Exhibition Hall Opens for Exhibits installations 6:00AM to 6:00PM 17th February, 2013
- All stands must be ready by 6:00PM 17th February, 2013, unless otherwise arranged with the conference organisers
Vehicle access to Exhibition Area
Vehicular access for those who have equipment to drop off will close by 6:00PM Sunday 17th February, 2013. For security reasons no vehicle will be allowed to remain parked around the Congress Hall entrance area for longer than a twenty minute period. Goods can be dropped off in this area and will remain here while the driver finds alternative parking in the Car park area. Please note that Transcorp Hilton does not supply porter services, therefore you need to arrange for the conveying of exhibition materials to your own booth.
In order to obtain access into Congress Hall, Transcorp Hilton and exhibition hall, evidence of conference and exhibition registration must be presented at the entrance of the conference venue and at entrance of the exhibition hall. All exhibitors must make provision for the receipt of their items on arrival as there is no provision for any storage whatsoever. Access will be denied vehicles that do not have exhibitors or their representative’s onsite for drop off.
Exhibitor(s)
Each exhibition stand registration allows for 2 exhibitors (persons). Twenty Thousand Naira (100USD) will be charge for an additional exhibitor tag/person
Car parking
Car parking will be in Transcorp Hilton Car Park. Transcorp Hilton security officials have the right to parking directives/positions within the car park. Please be sure to follow the driving direction on the drive ways as marked on the roads when you enter Transcorp Hilton. Be reminded you must remove your vehicle from the exhibition area to the car park once you have off loaded your equipment.
Pedestrian access
The front doors of the building do not open before 8am Monday 18th February, 2013 unless by prior arrangement with the exhibition organiser. For those requiring access prior to this time please contact the organiser.
Installation and access
The organisers will endeavour to adhere to the nominated date and time for the commencement of exhibitors’ work, but will accept no responsibility for any costs, expenses or claims arising from any variation to such date and time.
Hall fittings
No fixing to any part of the hall walls, fabric, fixtures or fittings is permitted.
There are strict restrictions on fixings at floor level and on the use of paint or any other substance which might the event flooring in the Hall.
Equipment
Transcorp Hilton and Conference organisers will not accept any responsibility for loss or the FRSC to any equipment left in the Hall. Exhibitors are advised that exhibits must not be removed until the exhibition closes at 17.00 on Monday 18th February, 2013. Exhibits must be removed before 8:00AM on Tuesday 19th February, 2013 unless alternative arrangements have been made with the Exhibition Supervisor.

All items should be clearly labelled with the company name and stand number. Items can be accepted at the Exhibition hall from 3:00pm Sunday17th, February, 2013. Ensure that prior to shipping out your good, you contact and receive a confirmation from the Exhibition organiser that your items will be received when they arrive.
Catering
Exhibitors make their own individual arrangements for stand catering from Transcorp Hilton Hotel as external caterers are not allowed, but must liaise with conference organizers for the caterer in order to facilitate access
Smoking
Transcorp Hilton operates a strictly No Smoking Policy indoors, and smoking is prohibited in the entire conference venue.
Security
Congress Hall Transcorp Hilton operates a 24-hour security service. The Hall will be locked at the end of the day. However, organisers will not accept liability for any loss or FRSC to Exhibition stands.
Audio visual demonstrations and sound producing equipment
Exhibitors using such equipment must not cause a nuisance to exhibitors on adjacent stands nor locate their equipment such that there is an obstruction in the gangways. Exhibitors creating such problems must comply with re-sitting or modulation of such equipment if required to do so by the Organiser. Demonstration speakers must be located as close to the centre of the stand as possible on island sites or at the back of the stand on closed sites.
Advertising materials, circulars and promotions
Literature may be distributed from stands only and must not be placed in any other areas, except by specific prior arrangement with the Organisers. Draws and raffles will not be permitted without written permission from the Organisers.
Obstructions of gangways and open spaces
Exhibitors may not display exhibits in such a manner as to obstruct the light or to impede or project over gangways or affect the displays of neighbouring stands. Gangways must, at all times, be left clear and free for passage. Any exhibitor who continues to cause obstruction or nuisance after notice has been given shall be liable to have his/her stand closed by the Organiser at the Exhibitor’s expense and risk.
Cancellation
Should Exhibitors be forced to cancel or reduce their application for stand space, the Exhibitor will be liable to pay a cancellation charge of 25% of the space cost. The Organizers’ will endeavour to re-let the stand space, but if they are unable to do so the Exhibitor will be liable to pay the full cost of stand rental.
Payment and exhibition booths/space allocation
Exhibition Booths and Spaces are allocated on first pay bases, reservations without evidence of confirmed payment does not guarantee the space preferred by the exhibitor. The organizer will only confirm allocation of booths and spaces when payments have been received. Prospective exhibitors should email payments details to info@frscat25.org or oc.oladele@frsc.gov.ng to guarantee their reservations.
